The Operations Manager (OM) is responsible for managing and coordinating all operational aspects of the Charleston Friends of the Library (FOL), primarily the successful execution of all book sales and events. OM works to recruit and manage volunteers and vendors associated with all book sales and events. The OM handles day-to-day administrative duties and financial transactions, prepares reports for the FOL board of directors, and completes other tasks as assigned by the board. The OM is the only employee of the FOL and reports to the president of the board and works closely with the full board to advance the mission and activities of the FOL. This is a full-time salaried position and the OM is expected to work weekends and after-hours as needed.

Specific Duties and Responsibilities:

Events

  • Execute and manage all FOL fundraising and book donation events such as That BIG Book Sale (TBBS), branch book sales and pop-up or special book events. This includes coordinating book preparation with volunteer book sale committee and sorting room volunteers; working with vendors to manage event rentals, insurance, day laborers, etc.; working with library branch managers; and generating public relations, marketing, and promotional materials as required.
  • Provide logistical support for the Black Ink Book Festival, including social media and website assistance as required.

Volunteer Management

  • Recruit and manage strong, diverse volunteer corps.
  • Manage sorting room volunteers, who price and pack donated books for the sales; work with day managers to evaluate and implement work processes and policies; determine and provide resources for volunteers to work efficiently in order to meet financial goals.
  • Work closely with Charleston County Public Library (CCPL) liaison to communicate and address logistical issues.

Marketing and Communications

  • Represent FOL in print and broadcast media, including securing timely publicity for events, appearing in on-air publicity spots, and generating timely PR pieces.
  • Develop, maintain, and execute an active and diverse social media strategy as directed by FOL board; work with board committees to sustain and improve FOL’s media exposure.

Office Management

  • Perform general day-to-day administrative tasks and other administrative or project duties as assigned by the board.
  • Work closely with board president and treasurer to determine annual budgets; document financial transactions; comply with best accounting practices; and support annual audits as directed by the board.
  • Maintain/update websites and social media accounts.
  • Manage membership, donor and volunteer lists and databases, and provide regular communications including production of print and email newsletters.

Other Duties

  • Serve as secretary for FOL board of directors.
  • Attend Charleston County Public Library Board of Trustees meetings as requested by FOL board.

Qualifications/Requirements:

  • Three+ years’ experience working in nonprofit environment
  • Demonstrated detail-oriented event planning and/or project management experience
  • Proven experience recruiting and managing volunteers, many of whom are retired professionals
  • Strong written and verbal communication skills
  • Microsoft Office proficiency; competency with Canva or other software to create social media graphics, presentations, posters, documents and other visual content; and familiarity with membership databases and direct mail clients such as MailChimp

Preferred:

  • Interest in public libraries, their constituents and programs and a love of books
  • Experience working with print, broadcast, and social media

This is an on-site position that follows Covid-19 protocols established by Charleston County Public Library.

Salary and Benefits: Salary is negotiable within the range of $40,000 - $45,000 annually. Three weeks of paid vacation and 12 days of sick leave provided at a monthly accrual rate and eleven paid holidays, consistent with CCPL schedule. No health insurance or retirement benefits are provided, however a stipend may be provided for health insurance as needed.
